Preparing Digital Files

Fonts & Graphics
All fonts (Printer & Screen), Clip Art, EPS graphics, TIFF images and any other computer generated artwork must be included with the page layout document. This helps us restore any links to imported graphics that may have been interrupted during file transfer and, if necessary, troubleshoot problems. Before e-mailing, please use compression software such as Winzip or Stuffit to keep all your files together and make the files easier to transmit. You can download the software using the link to the right.

Hard Copy
Always send a hard copy of your document with your file. Please include a composite and separations for color printing. You do not need to send a color copy of the final product. Black and White print out is acceptable if all color separations are indicated. If the hard copy is reduced to print, please indicate the actual dimensions. If you are e-mailing the file please fax a hard copy to us at 845-626-2685 and if possible, include a pdf version of your final piece.

Bleeds
Make sure everything that is supposed to bleed is extended beyond the page border at least 1/16". If you are going to supply an image file or PDF instead of the native program, you must prepare the file to preserve the bleed. Either supply the image with crop marks or enlarge the page size 1/8" proportionally on all sides. (Example: If the final size is 8.5"x11", send the image or PDF at 8.75"x11.25" allowing a 1/8" bleed around all sides.) If you enlarge the page size our pre-press department will center it on the actual size and add crop marks for cutting.

Color Specification
Make sure all of your colors are defined correctly. Colors that will print as spot PMS colors must be specified as such. If your document is to be printed as process color or FULL COLOR, please make sure all colors used in your publication have been converted to CMYK.

Media
Other than emailing your file, we can accept a CD, DVD or 100MB Zip. Floppy discs are not recommended as they are not very reliable. Please remember: Do not send us your original and only document.

PDF Files
We can accept a pdf file for your publication. If possible, please make the pdf using a distiller rather than a publish to pdf or export to pdf option. Please make sure all fonts are embedded. If the publication is more than one color, please make sure the pdf is made for color separations - and included with the original file you created. (Just incase there are postscript errors or fonts/graphics were mistakingly left off. This saves time and money!!)

Other Special instructions such as varnish, drilling, folding, perforating and die-cut requirements should also be noted or highlighted on your hard copy.

Common Printing Terms

Description
The name of the printed piece you need the quote for (e.g., book, brochure, catalog?).
Quantity
How many do you need. It is a good idea to list 3 quantities, as the unit pricing is better once the press is running.
Number of Pages
This is different from how many sheets of paper. A single piece of paper has two sides and therefore is two pages.
Trim Size Folded
The size of the printed item once folded. (Example: if you fold a letter to fit an envelope, the folded size is the "trim size" folded, or 3 2/3 x 8 1/2" from the 8.5 x 11" original size.)
Flat/Spread Size
This is the flat and final trimmed size of the printed item before folding. (Example: an 8 1/2 x 11" 4-page brochure spread out as a 2-page "spread" would be 17 x 11".) Printers require the width as the first dimension given.
"Text" Stock
A lighter weight stock. If there were not a separate cover, then would be the only paper used (i.e. a "self cover") or if there is a separate heavier cover printed then this would refer to the inside paper.
Cover Stock
Heavier card type stock and also used for the outside 4 pages of your printed item, should it be different from the text. If it is not, then your printed item is a "self cover".
CMYK (cyan, magenta, yellow and black)
is for process printing, such as color photos and Pantone inks also known as spot color, or PMS stands for Pantone Matching System. (Note: always count on a slight variation of color from paper to paper and press to press.)
Bleeds
The ink prints to the very edge of the paper. When using "bleeds" you must allow for the art to extend 1/8" beyond the page border.
Camera Ready Artwork
This is art or copy on a layout board or paper output to be photographed.
Scans
Scanning is the process that records your images as a digital file from your photograph.
Half Tones
A black and white photo shot with a camera.
Die Cut
A "steel rule" die is manufactured, which is composed of thin pieces of steel that will be used to stamp a line or rule on the printed materiel. To die cut is to cut the printed piece almost like a cookie cutter.
Saddle Stitch
Two staples added to the center of the piece on the fold line.
Perfect Bind
A squared off edge and glued pages define this bindery type.
Perforate
Creation of holes either by die or a bindery rolling process for tear outs or coupons

PLEASE NOTE
Microsoft Word, WordPerfect and PowerPoint files CANNOT be color separated for digital offset printing plates. We suggest you use PageMaker, Quark XPress, CorelDraw or other publishing software.

Tips for Designing your project for printing

Below are a number of tips for page layout, text styles and fonts.

Plan your work
Know ahead of time what you are trying to accomplish and know how you wish to accomplish it.

Use scans where scans are needed (usually only in photos or continuous tone art) and line art as logos and flat art.

Consulting a printer at the early part of a job will usually save you time, money & frustration.

Most printers have a set of "standard" inks that they order premixed to PMS standard colors. Using one of these standards can save the cost of the printer having to mix inks to a precise formula to achieve an exact specified PMS color.

Be aware of folding panels. Do your work at 100% the size of the printed piece and allow for proper margins where you want it to fold!

Plan what program is best to accomplish your goal.

Single page layouts should be built at trim size with bleeds.

Resize ALL halftone and four color scans in PhotoShop or any other paint program. Resizing in the page programs or draw programs can lead to long imaging (RIP) time (and therefore cost more money).

When using colors, plan on what the colors will be and how they will print -spot or process. If you use spot colors, specify colors in PMS (Pantone Matching System). If the colors are built out of process, please specify them as CMYK (cyan, magenta, yellow & black) or Separations within the color pallet.

Issues with fonts
Fonts used by both client (you) and vendor (printer/service bureau) MUST be of the same vendor, name and manufacturer.

Don't forget to send dingbat fonts if you are using them.

PostScript fonts have both a "screen font" for proper display on your monitor AND a "printer font" that is used to create smooth type on a printer, especially on an imagesetter. Always send BOTH!

Tips on text
Convert headline type to paths in Illustrator or Freehand, etc. Then you wont need to list the font, and the vendor can't accidentally make a type or line-break change.

NEVER, NEVER, NEVER use the style menu to make type "BOLD" or "ITALIC", etc., if the document is going outside your company or to a high-resolution device (imagesetter). Chances are it will not print correctly.
